Your handbook, read and signed by every member of staff. Provable, years later.
Publish your own policies on the portal. Your team read them on screen, sign with a finger, and receive a certificate of endorsement. When a tribunal, client or auditor asks who accepted what, you answer in seconds.
The problem with paper signatures
Every employer has documents staff must accept: the employee handbook, disciplinary and grievance procedure, health and safety arrangements, IT acceptable use, equality and whistleblowing policies. Most companies chase those signatures on paper, file them somewhere, and discover at the worst possible moment that they cannot prove who read what, or which version they read.
Signatures go missing
A signed sheet in a folder proves nothing if you cannot find it, and nothing at all about the version the person actually read.
Policies change
Revise the handbook and every old signature is out of date. Almost nobody re-collects them, so the evidence quietly rots.
It matters in disputes
In a disciplinary or tribunal, "the employee signed the current policy on this date" is the difference between a defensible process and an argument.
How it works
Five steps, and the platform does the chasing for you.
Publish your documents
Paste or type each policy into your company dashboard. Text only, versioned, with UK starter templates for the six most common policies if you are starting from scratch. Templates are a starting point, not legal advice: anything with real consequences should be checked by someone qualified.
Staff get a read-and-sign task
Every employee sees the documents assigned to them on their own account, on any device, using the same sign-in they already use for training.
They read to the end, then sign
The signature is locked until the reader reaches the end of the document and a minimum reading time has passed. Then they tick the declaration, type their name and draw their signature on screen.
The record is version-exact
Each signature stores the document version and a fingerprint of the exact text shown. Revise one policy and only that policy goes back out to be signed again; everything else stays signed.
Certificates, automatically
Each member of staff earns a certificate of endorsement listing every document signed, with dates, versions and their drawn signature. Your dashboard shows exactly who has signed everything and who has not.
What the record proves
Evidence quality is the whole point. Every endorsement can answer these questions:
Questions companies ask
Is this included in our membership?
Yes. Policy endorsement is part of the standard business membership at £300 per year, alongside unlimited staff training. There is no extra charge per document or per signature.
Do we upload our PDF files?
No, and that is deliberate. You publish the text of the policy, which is what staff actually read and sign. You can record a fingerprint of your master file so you can prove, years later, which document the text came from, without the file ever leaving your computer.
Can staff sign on their phones?
Yes. Reading and signing works on any phone, tablet or computer, and the drawn signature works with a finger, stylus or mouse.
What happens when we update a policy?
Publish the new version and only that document returns to "sign again" for your staff. Their certificates update once they re-sign. Signatures for your other documents are untouched.
How do we start?
Sign in to your company dashboard and open Company policies. Six UK starter templates are built in if you do not have written policies yet.
Stop chasing signatures.
Policy endorsement is live for every business member today, alongside unlimited staff training, the training matrix and QR-verified certificates.
